JOB SUMMARY: The Greater Phoenix Chamber is seeking a Program Coordinator to join our team of professionals. The program coordinator position requires a highly motivated, organized self-starter to administer and coordinate member programs that provide professional development and networking opportunities for member businesses. Reporting to the Program Manager, our Program Coordinator will be responsible for the coordination of the Chamber’s professional development programs.

PRIMARY / ESSENTIAL JOB DUTIES:

Responsible to coordinate, from concept to execution, the following programs:

  • Professional Women’s Alliance (Monthly)
  • Valley Young Professionals (Monthly)
  • Valley Young Professionals Board of Directors (Bimonthly)
  • Economic Development Insider Series
  • Arizona Chamber Executives professional development events
  • Assist the Events Team with execution of special events as needed

Program coordination includes:

  • Determine and secure creative and innovative speakers
  • Secure venues and/or meeting space for appropriate programs
  • Arrange catering, parking and AV for pertinent meetings and programs
  • Schedule site visits and write host agreements based on program needs
  • Create and develop content including topics, agendas and scripts for programs
  • Manage registration and track attendance for Professional Development programs
  • Maintain high level of customer service in all aspects of program planning and execution
  • Facilitate meetings and record meeting minutes where applicable
  • Collaborate with presenters and partners, managing all aspects of the presentation planning process
  • Work cooperatively with sponsors to fulfill program benefits
  • Work with the marketing team to create promotional materials for programs (including invitations, newsletters, webpages, collateral, etc.), in a timely manner
  • Manage and consistently update database and communications lists for programs
  • Create and update postings to the appropriate Chamber social media accounts, in accordance with GPC policy
  • Communicate program details to other departments as necessary
  • Work with the Program Manager to evaluate/enhance programs where possible
  • Must be flexible to work outside of a normal work schedule (8am-5pm) to include early mornings and/or late evenings as events and programs may require
SECONDARY JOB DUTIES:
  • Assist members and non-members with requests pertaining to membership or need for information
  • Promote Chamber programs and events through active solicitation of attendee participation and community partnerships as appropriate
  • Establish and grow relationships with members and partner organizations
  • Enhance program outreach and awareness of programs through community partnerships
  • Other duties as assigned
JOB REQUIREMENTS:

EDUCATION AND EXPERIENCE:
  • Bachelor’s degree in business, event management, or related field and/or 1-2 years related event planning/internship experience or equivalent combination of experience and training
  • Strong proficiency with Microsoft Office Suite required
  • Exceptional written and oral communication skills
  • Proven customer service experience and skills
WORKING CONDITIONS:
  • Ability to work a flexible schedule, including early mornings and evenings, when necessary
  • Ability to work overtime as priorities dictate
  • Professional office environment

  • Specific deadlines and timetables
  • Ability to lift 30 lbs
